Terms of Service

These terms govern your use of PayVAT. By creating an account or using the service, you agree to them. If you don't, don't use the service.

1. The service

PayVAT is a software service that helps Irish VAT-registered businesses prepare VAT3 returns. It does this by ingesting documents you upload (or import via integrations), classifying them, extracting figures with AI, and assigning each figure to the correct VAT3 box according to Irish VAT rules. PayVAT produces a ROS-compatible XML file that you can submit to the Revenue Online Service (ROS).

What PayVAT is not:

  • PayVAT is not a registered tax advisor, accountant, auditor, or law firm.
  • PayVAT does not submit VAT3 returns to Revenue on your behalf. You retain full control of the submission and you must upload the XML to ROS yourself, using your own digital certificate.
  • PayVAT is not a substitute for professional advice on complex VAT scenarios (mixed-supply, partial exemption, group registrations, etc.). Where you are unsure, consult a qualified accountant.

2. Your responsibilities

You agree that:

  • You are at least 18 years old and authorised to act on behalf of the business you register.
  • The information you give us (business name, VAT number, addresses) is accurate and you keep it up to date.
  • You only upload documents that you have the right to upload and that contain accurate information about your business.
  • You keep your sign-in credentials confidential and notify us immediately if you suspect unauthorised access.
  • You don't use PayVAT for any unlawful purpose, don't attempt to bypass security controls, and don't try to scrape or replicate the service.

3. Critical: review before you submit

PayVAT generates a VAT3 return based on the documents you upload and the AI extraction of those documents. AI extraction can make mistakes. You are responsible for reviewing every figure on the VAT3 — and for any consequences of submitting an incorrect return to Revenue.

We've built the workbench specifically so you can drill from any figure on the VAT3 down to the source document, and we produce a Revenue-grade audit pack so you can prove every figure. Use it. The system surfaces flags for documents that need human review — don't dismiss them lightly.

4. Subscription, billing, refunds

PayVAT is a subscription service. Plans, prices, and features are listed on our website. Billing is handled by Stripe.

  • Subscriptions renew automatically at the end of each billing period (monthly or annual, depending on your plan).
  • You can cancel any time from your account settings. Cancelling stops future renewals; you keep access until the end of the current paid period.
  • We don't refund partial periods. If you're an EU consumer using the service in a non-business capacity (rare for a VAT tool), you may have a 14-day cooling-off period under EU consumer law — contact us if this applies.
  • We may change prices with at least 30 days' notice; the new price applies from your next renewal.
  • If your payment fails, we'll retry and notify you. Persistent non-payment will pause your account; we'll preserve your data for 30 days before any deletion.

5. Your data

You retain ownership of every document you upload. You grant us a non-exclusive, royalty-free licence to process those documents solely to provide the service to you. We don't use your documents to train AI models, and our sub-processors are contractually prohibited from doing so as well.

You can export all your data at any time via the dashboard. On cancellation, we retain documents for 6 years to comply with Revenue audit requirements; everything else is deleted within 30 days. See our Privacy Policy for full details.

6. Service availability

We work hard to keep PayVAT available, but we don't currently offer a contractual uptime guarantee. We may need to take the service offline occasionally for maintenance or upgrades; where possible we'll give advance notice.

7. Limitation of liability

To the maximum extent permitted by Irish law:

  • We are not liable for any tax penalty, interest, surcharge, or other liability arising from a return you submitted to Revenue. You are responsible for the accuracy of returns you file.
  • We are not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, or business opportunity.
  • Our aggregate liability to you under these terms is capped at the total fees you've paid us in the 12 months immediately preceding the event giving rise to the claim.

Nothing in these terms limits liability that cannot be limited under Irish law (e.g., for fraud, gross negligence, or death or personal injury caused by negligence).

8. Intellectual property

PayVAT and all related software, designs, and content are owned by us or our licensors. Using the service does not grant you any IP rights other than the right to use the service as intended.

9. Termination

You can close your account at any time from settings. We may suspend or terminate your account if you materially breach these terms (e.g., non-payment, abuse, fraud) — in serious cases without notice. On termination, sections relating to liability, IP, and your data retention obligations survive.

10. Changes to these terms

We may update these terms from time to time. If we make a material change, we'll notify you by email at least 30 days before it takes effect. Continued use after the effective date means you accept the new terms.

11. Governing law

These terms are governed by the laws of Ireland. Disputes are subject to the exclusive jurisdiction of the Irish courts.
